Accessing Submissions

  1. Go to your Workspace
  2. Click on your Form
  3. Click the “Submissions” tab
Or from the main navigation:
  • Forms → Select form → Submissions tab

Submissions Overview

The submissions page shows all responses to your form in a table format.

Submission Table Columns

Submission ID
  • Unique identifier for each response
  • Auto-incrementing number
  • Use for reference and tracking
Status
  • Complete: Submission fully completed
  • Incomplete: Partial submission (abandoned)
Submitted At
  • Date and time of submission
  • Your timezone
  • Format: Mar 15, 2024 10:30 AM
IP Address
  • Respondent’s IP address
  • Used for duplicate detection
  • Privacy compliant
Device Type
  • Desktop, Tablet, or Mobile
  • Detected from user agent
  • Helps analyze completion rates by device
Time Taken
  • How long respondent took to complete
  • Measured in seconds
  • Format: 2m 35s
Actions
  • View, Delete, Add Comment
  • Quick access buttons

Viewing Individual Submissions

Opening a Submission

Click on any submission row to view full details.

Submission Detail View

Header Information:
  • Submission ID
  • Status (Complete/Incomplete)
  • Submitted date and time
  • IP address
  • User agent (browser and device)
  • Time taken to complete
Answer Section: Shows all questions and answers:
  • Question text
  • Respondent’s answer
  • File attachments (if any)
  • Empty answers shown as “(No answer)”
Metadata Section:
  • Device type (Desktop/Tablet/Mobile)
  • Browser (Chrome, Safari, Firefox, etc.)
  • Operating System
  • Location (if available)
  • Referrer URL (where they came from)
  • Form version (if versioning enabled)
Previous/Next Buttons:
  • Navigate between submissions
  • Keyboard shortcuts: ← → arrow keys
  • Stay in detail view
Back to List:
  • Return to submissions table
  • Or click “Submissions” tab again

Submission Comments

Add internal notes and collaborate with team members.

Adding Comments

  1. Open a submission
  2. Scroll to Comments section at bottom
  3. Type your comment
  4. Click “Add Comment”

  • Flag suspicious submissions
  • Add follow-up notes
  • Coordinate with team members
  • Track customer interactions
  • Note actions taken
Comment Features:
  • Markdown support (bold, italic, lists)
  • @mentions for team members (coming soon)
  • Edit/delete your own comments
  • Threaded replies
  • Timestamps and author shown

Viewing Comments

  • All comments appear below submission details
  • Sorted by newest first
  • Shows author name and photo
  • Timestamp on each comment

Filtering Submissions

Filter submissions to find specific responses:

Status Filter

All Submissions (default)
  • Shows both complete and incomplete
Complete Only
  • Fully finished submissions
  • All questions answered
Incomplete Only
  • Abandoned submissions
  • Started but not finished
  • Useful for analyzing drop-offs

Date Range Filter

Preset Ranges:
  • Today
  • Last 7 days
  • Last 30 days
  • This month
  • Last month
  • All time (default)
Custom Range:
  • Select start date
  • Select end date
  • Click “Apply”

Device Type Filter

Filter by device used:
  • Desktop
  • Tablet
  • Mobile
  • All devices (default)
Search across all answer fields:
  • Enter keywords in search box
  • Searches question text and answers
  • Case-insensitive
  • Instant results
Example Searches:
  • Email addresses
  • Names
  • Specific answers
  • Submission IDs

Sorting Submissions

Click column headers to sort: Sortable Columns:
  • Submission ID (ascending/descending)
  • Submitted At (newest/oldest)
  • Time Taken (longest/shortest)
  • Status (complete first/incomplete first)
Default Sort:
  • Newest submissions first

Bulk Actions

Select multiple submissions to perform batch operations:

Selecting Submissions

Select Individual:
  • Click checkbox on left of each row
  • Selected rows highlighted
Select All (Current Page):
  • Click checkbox in table header
  • Selects all visible submissions
Select All (All Pages):
  • After selecting all on page
  • Banner appears: “All 20 on this page selected”
  • Click “Select all X submissions”

Bulk Delete

  1. Select submissions (checkboxes)
  2. Click “Delete Selected” button
  3. Confirmation modal appears
  4. Click “Delete” to confirm
Warning:
  • This action is permanent
  • Cannot be undone
  • All answers and files deleted
  • Comments are also deleted

Bulk Export

  1. Select submissions (checkboxes)
  2. Click “Export Selected” button
  3. Choose export format
  4. Only selected submissions exported

  • Select “Include comments” checkbox

Export Process

  1. Click “Export” button (top right)
  2. Select export format
  3. Choose date range (optional)
  4. Select fields to include (optional)
  5. Click “Download”
  6. File downloads to your computer
Export Options: Include:
  • ✓ All answer fields (default)
  • ☐ Comments
  • ☐ Metadata (IP, device, etc.)
  • ☐ File attachment URLs
Date Range:
  • All time (default)
  • Custom range
Large Exports:
  • Exports with 1000+ submissions may take a minute
  • Progress indicator shown
  • Download starts automatically when ready

Deleting Submissions

Delete Single Submission

  1. Open submission detail view
  2. Click “Delete” button (top right)
  3. Confirmation modal: “Are you sure?”
  4. Click “Delete” to confirm
Or from table:
  1. Click three-dot menu (⋮) on row
  2. Select “Delete”
  3. Confirm deletion
What Gets Deleted:
  • Submission record
  • All answers
  • File attachments
  • Comments
  • Payment records (if any)

Delete Multiple Submissions

Use bulk actions (see above)

Deleted Data Cannot Be Recovered

⚠️ Warning: Deletion is permanent
  • No “undo” option
  • No “recycle bin”
  • Data cannot be recovered
  • Export important data before deleting

Submission Statistics

View summary stats at top of submissions page: Total Submissions
  • Count of all completed submissions
  • Updates in real-time
Completion Rate
  • Percentage of visitors who submitted
  • Formula: (Submissions / Views) × 100%
  • Example: 45% completion rate
Average Time
  • Average time to complete form
  • Calculated from completed submissions
  • Format: 3m 25s
Latest Submission
  • Time since last submission
  • Example: “2 hours ago”, “Just now”
Total Views
  • Number of times form was viewed
  • Includes multiple views by same person

Answer Distribution

For choice fields (multiple choice, dropdown, checkboxes):
  • See which options are most popular
  • Pie charts and bar graphs
  • Percentage breakdown
  • Click on question to view
Example:
How did you hear about us?
- Google Search: 45% (23 responses)
- Social Media: 30% (15 responses)
- Friend Referral: 15% (8 responses)
- Other: 10% (5 responses)

Time to Complete Analysis

Graph showing completion times:
  • X-axis: Time taken
  • Y-axis: Number of submissions
  • Identifies optimal form length
  • Spots outliers (too fast = spam, too slow = confusion)

Drop-Off Analysis

For incomplete submissions:
  • See which question caused abandonment
  • Question-by-question completion rate
  • Helps optimize form length and difficulty
Example:
Question 1: 100% reached
Question 2: 95% reached
Question 3: 80% reached
Question 4: 45% reached ⚠️ High drop-off
Question 5: 40% reached

Device Breakdown

Submissions by device type:
  • Desktop: 60%
  • Mobile: 30%
  • Tablet: 10%

Submission Limits

Free Plan

  • 100 submissions per month
  • Counter resets on 1st of each month
  • Shows: “75/100 submissions used this month”
  • Forms stop accepting responses when limit reached
  • Upgrade prompt shown to visitors

Pro Plan

  • Unlimited submissions
  • No monthly caps
  • All submissions counted in analytics

What Counts as a Submission?

Counts:
  • ✓ Completed submissions
  • ✓ Submissions with at least one answer
Doesn’t Count:
  • ✗ Form views (no answers)
  • ✗ Test submissions (marked by you)
  • ✗ Incomplete submissions (no answers at all)

Privacy & GDPR Compliance

Personal Data in Submissions

Submissions may contain personal data:
  • Names, email addresses
  • Phone numbers
  • IP addresses
  • Any user-provided information

Data Retention

Default:
  • Submissions stored indefinitely
  • You control deletion
GDPR Rights:
  • Respondents can request data deletion
  • Use “Delete” function to comply
  • Export data before deletion if needed

Data Deletion Requests

If a respondent requests deletion of their data:
  1. Search for their submission (by email/name)
  2. Open submission
  3. Click “Delete”
  4. Confirm deletion
  5. Document the deletion (comments before deleting)

Data Export Requests

If a respondent requests a copy of their data:
  1. Find their submission
  2. Export as PDF or Excel
  3. Send to their email
  4. Keep record of export request

Tips & Best Practices

Regular Exports

Do:
  • Export submissions weekly or monthly
  • Keep backups of important data
  • Export before making major changes
  • Archive old submissions
Don’t:
  • Rely solely on platform storage
  • Wait until you need the data to export

Comment Usage

Do:
  • Add comments for follow-ups needed
  • Flag suspicious submissions
  • Note customer interactions
  • Use for team communication
Don’t:
  • Include sensitive data in comments
  • Use comments for customer communication (email instead)
Do:
  • Use filters to analyze trends
  • Search for specific submissions quickly
  • Filter by device to optimize form
Don’t:
  • Forget to reset filters when done
  • Export with filters active (unless intended)

Privacy

Do:
  • Limit who can access submissions
  • Export securely
  • Delete unnecessary data
  • Honor deletion requests promptly
Don’t:
  • Share submissions publicly
  • Keep data longer than needed
  • Ignore privacy requests

Troubleshooting

”No submissions showing”

Problem: Submissions page is empty Solution:
  • Check if form has been submitted
  • Check filters (reset to “All”)
  • Check date range (set to “All time”)
  • Verify form is published (not draft)

“Cannot delete submission”

Problem: Delete button not working Solution:
  • Check you have permission (owner/admin)
  • Refresh page
  • Try from detail view instead of table
  • Contact support if persistent

”Export not downloading”

Problem: Export button clicked but no download Solution:
  • Check popup blockers
  • Try different browser
  • Check download folder (may have downloaded)
  • Try smaller date range if exporting many

”Comments not saving”

Problem: Comments disappear after saving Solution:
  • Check internet connection
  • Refresh page
  • Try shorter comment
  • Contact support if issue persists
